What is Data Lifecycle Management?

Data Lifecycle Management is a set of policies that manages the lifecycle of information located in the Microsoft 365 environment.

Data Lifecycle Management is used to enforce minimum and maximum data retention policies for core Microsoft 365 services such as: Outlook, SharePoint Online, OneDrive, and Microsoft Teams. 

These Data Lifecycle Management policies can be customised to meet territory regulatory and legal requirements. 

Retention and deletion policies

Retention policies assure that data will be available for eDiscovery by an eDiscovery manager through the length of the retention policy. 

Retaining data is intended for regulatory compliance. The data can be deleted from the user view either manually by the user or by an automated deletion process but will remain discoverable by an eDiscovery manager until the retention period has expired. 

Deletion policies can be set to automatically delete documents and data after a specific period.  

Data will only be permanently deleted once all applicable retention polices have expired and holds have been removed. If any type of hold applies to the data (e.g. Legal Hold), it will remain discoverable by an eDiscovery manager until the hold is removed. 

Retention and deletion policies can be built to work in conjunction and be applied to the same set of data. Different data retention and deletion policies can be configured for Outlook, SharePoint Online, OneDrive, and Microsoft Teams.
